Implementation and assurance of monthly payroll accounting

Our comprehensive payroll accounting service offers you efficient and accurate processing of all relevant payroll accounting processes. We take care of the administration of personnel measures as well as the entry and maintenance of personnel master data and files. In addition, we create customised evaluations that give you a clear overview of important personnel and salary data.

Based on collective bargaining agreements or individual contract provisions, we record all payments and maintain variable payroll data such as bonuses and allowances. We determine and record special payments such as holiday pay and royalties and take into account voluntary employer benefits such as company tickets and health subsidies. We also manage models such as partial retirement (ATZ) and ensure compliance with all regulations.

We answer all your employees' payroll-specific questions and work closely with local HR departments. In addition, we handle all correspondence with health insurance companies, authorities and social security institutions and take care of reporting and certification.

The reliable processing of payment transactions and the preparation of necessary documents, such as pay slips, are also part of our tasks. We create provisions, for example for holidays and flexitime, and prepare annual reports for Kombi-Pakt and pension provisions.

In addition, we ensure that the system is adapted to legal, collective agreement and operational changes, whereby operational adjustments may incur additional costs. We carry out monthly ICS audits and other quality assurance measures, take care of year-end and annual closing tasks, and assess income tax and social security law compliance.

The personal contact person is also indicated on the payslip. This makes it easy to contact them if you have any questions or concerns about your payslip.

The German Payroll Statement Regulation (EBeschV) establishes a standardised payroll statement to ensure that social security providers have access to uniform information nationwide.

The structure of our payroll accounting is explained below.

Social security information

The pension insurance number can be found on the inside right-hand side of the social security card and is the employee's identification number with the pension insurance provider. The SV code represents the contribution group key.

  • The SV days are the number of social security days included in the certified payroll month.

  • PVZ stands for the nursing care insurance surcharge for childless persons.

  • PV children are the number of children relevant for calculating the PV contribution rate.

Information on tax characteristics

The ‘Tax characteristics’ section shows the characteristics relevant for the deduction of wage and surtaxes. First is the tax class, then the number of children for the child allowance, and lastly the abbreviation of the denomination for church tax.

  • The annual and monthly allowance is a tax allowance that is automatically taken into account when determining income tax.

  • The factor entered represents the splitting according to the Annual Tax Act 2009.

  • The tax days indicate the number of tax days included in the certified payroll month.

Collective agreement classification and other social security characteristics

This section specifies the employee's collective agreement classification in terms of group and level, as well as the date of promotion to the next level or group stored in the system. Multiple employment and midi jobs are also specified here.

Hourly rates

This section specifies the basic taxable wage as the basis for assessing tax exemption for preferential supplements, the date of entry into the company, the permanent job number and the cost centre. The cost centre is a technical term in the payroll accounting system used to correctly allocate and calculate wage costs in accounting.
